Sending auto-response messages - What's your strategy?

Chris Mobley  |    |  Tags:  auto-reply email auto-response  |  Comments (2)
So we have over 120 general (MIDB) mailboxes.  You know, those shared mailboxes like "resumes@acme.com".    Well a handful of them have auto-response agents that respond to the sender with a email stating that we have received their email.   I use a simple agent using the "Reply to Sender" action triggered on "After new mail has arrived".  When you do this the Sender address of the auto-response email is the signer of the agent.

I have chosen to use an ID called "No Reply" on these agents.  However I have gotten some push back from Sales telling me this doesn't look that great to the customer.

Do you think it is accepted practice to use the sender address of "No Reply" on auto-response emails?   Do you think email users out there pretty much know what it means when they receive an email from "No Reply" Do you recommend a better strategy for auto-response emails?

1 Kevin Pettitt      Permalink I'm not sure why you wouldn't want to give folks the ability to reply so long as those replies don't get lost.

The Domino Team Mailbox template on OpenNTF has very good features for controlling auto-reply behavior, such as allowing for a delay in responding of n hours to allow for the possibility of a manual reply first. It also has a very good "notification" agent that will send an alert to internal folks when a given mailbox receives mail, which may be what you need to feel confident that user "replies to your reply" don't get lost.

2 Karl-Henry Martinsson      Permalink Generally I don't like auto responders.
If there is any chance that you get spam sent to the address, and since 99.6% of all spam has a falsified from-address, the response you send out will go to an innocent party.
Backscatter is generally frowned upon, there are even blacklists (e.g. backscatterer.org) that list sources of backscatter.
Here you have some thoughts on auto-responders in particular, and how to avoid backscatter from them.
Here is a more generic article about backscatter, including comments on auto-responders.
